When a home moves, a family is inconvenienced for a few days. When an office moves, every day of downtime means lost work, missed calls and unhappy clients. Whether you run a small firm in Adajan, a diamond office in Varachha or a corporate office on Ring Road, the goal of an office move is the same: get your team working again in the new place as fast as possible.

This guide explains how to plan an office shift in Surat so that the move itself happens outside working hours and your team can start work at the new address with as little disruption as possible.

Start planning early

For a small office, start at least four weeks before the move. For a larger office with many departments, servers or special equipment, start two to three months before. Early planning gives you time to fix the date, book the movers, coordinate IT and prepare the new space.

Choose a moving date that avoids your busiest periods, such as month-end, financial year-end or a major client deadline.

Appoint a move coordinator

One person should own the move. The move coordinator:

  • Is the single point of contact for the movers, both building managements and the IT team.
  • Keeps the master plan, the floor plan and the inventory.
  • Collects information from each department about what they need moved.
  • Shares updates with all staff.

In a larger office, each department can also name one person who reports to the coordinator.

Survey both offices

Ask your movers to survey the current office and, if possible, the new one. Together, check:

  • Lift size and availability, staircase width and parking for the truck.
  • The building's rules for moving goods: allowed hours, lift booking, security gate passes and deposits.
  • Furniture that needs to be taken apart, and whether it will fit the new layout.
  • Special items such as safes, servers, heavy printers, glass partitions or valuable equipment.

Some commercial complexes in Surat restrict goods movement to certain hours or need advance permission, so speak to both managements early.

Plan the IT move separately

IT is the part of an office move that causes the most downtime when it goes wrong. Treat it as its own project.

  1. Back up everything. Take a complete backup of servers, shared drives and important computers before anything is switched off. Check that the backup can be restored.
  2. Book the internet early. Internet and phone lines at the new office can take time to install. Order them well in advance so they are live before moving day.
  3. Plan the network. Your IT team or vendor should prepare the network points, switches and Wi-Fi at the new office before the move.
  4. Let IT disconnect and reconnect. Your IT team should shut down and disconnect servers and network equipment, and set them up again at the new office. The movers pack and transport the hardware safely.
  5. Label every device. Each computer, monitor, cable and accessory should carry the same label as the desk it is going to.

Make a floor plan and labelling system

A clear floor plan of the new office is the key to a fast unpacking. Number every desk, cabin and room on the plan, and give each department a colour. Then:

  • Label every box, chair, drawer unit and computer with the department colour and the desk number.
  • Put a copy of the floor plan at the entrance of the new office and on each floor.
  • Stick matching labels on the desks and doors at the new office before the move.

With this system the moving team can place each item at the right desk without asking anyone.

Prepare staff for the move

  • Ask each employee to clear their desk, drawers and personal items before the packing day.
  • Give each person a few boxes to pack their own desk files and personal items, and labels to mark them.
  • Ask staff to back up any work saved only on their own computer.
  • Share the new address, timings, parking details and the first day plan with everyone.
  • Tell clients and suppliers about the new address and the moving date in advance.

Handle files and confidential documents

Archive or shred files you no longer need before packing, following your record-keeping rules. Pack active files in order, in clearly labelled boxes, so they can go straight back into the cabinets. Confidential files, cheque books, legal papers and items such as stock or samples of high value should be packed in sealed boxes, listed, and moved under the supervision of a trusted staff member.

Move after hours or in phases

To avoid downtime, many offices move after working hours or over a weekend. A common plan is:

  • Friday evening: pack the remaining desks and IT equipment after work.
  • Saturday: load, transport, unload and place furniture and boxes as per the floor plan.
  • Sunday: IT setup and testing, reassembly of remaining furniture, final checks.
  • Monday: staff arrive and start work.

Larger offices are usually moved in phases, one department at a time, so that the rest of the business keeps running. Each phase follows the same pack, move and set up steps.

Day-one checklist at the new office

  • Internet, phones and Wi-Fi working.
  • Every computer connected and logging in.
  • Printers and shared drives accessible.
  • Furniture assembled and every box at the right desk.
  • Electricity backup and air conditioning working.
  • Reception, signage and the new address on the website, email signatures and Google Business Profile.

Ask the moving team to stay on call for the first day in case a cabinet needs to be moved or a piece of furniture needs adjustment. Walk through the old office one last time as well, to make sure nothing has been left behind in storerooms, server cupboards or the pantry, and hand it back in the condition your lease requires.
